Operations Manager (LIBRARY ASSISTANT IV)

Basic Function and Scope of the Job: The Operations Manager reports to
the Head of the Engineering Library. The incumbent independently manages
the day-to-day operations of the library including circulation, serials,
acquisitions, course reserves, interlibrary services, transfers to
auxiliary facilities, catalog maintenance and public services. The
incumbent also participates as part of a team identifying, implementing
and testing new technologies for information delivery and providing
reference and public service assistance in Engineering. Responsible for
the library in the absence of the librarians.

Responsibilities:
50%
• Supervises the circulation, reserve, serial receiving, monograph
receiving, gifts processing functions of the library and makes
recommendations for process improvements.
• Supervises and evaluates the performance of permanent non-exempt staff
(3.5 FTE). Supervises other non-exempt staff as required. Makes
recommendations for hiring and other personnel actions.
• Hires, trains, supervises, and schedules approximately 2 FTE student
assistants.
• Manages leave records and time cards for student employees and other
staff of the Engineering Library.
• Monitors the budgets for student salaries, supplies and
communications. Orders supplies, tracks orders and reconciles p-card
purchases and travel expenditures.
• Responsible for maintenance of the library’s physical facility,
stacks, and equipment. Analyzes and monitors space utilization in the
library.
• Coordinates, compiles, analyzes, and reports unit statistics.
• Plans and executes transfers of materials to other branches or
auxiliary facilities
• Consults with staff in the main library, technical services, other
branches, other departments of the University to solve problems as they
arise.
• Handles inquires and communications with other library units as they
pertain to the Engineering Library.

30%
• Serves as the Expert Partner for the Engineering Library.
• Serves as the liaison to the manager of the School of Engineering
Computer Cluster.
• Manages the equipment needed to access and present digital information.
• Trains library staff and student assistants on the use of new technology.
• Assists faculty with the CourseWork system for course reserve
documents and linking to library resources.
• Participates as part of the team providing reference and public
service assistance to School of Engineering faculty, staff, and students
and other library patrons.

10%
• Serves as liaison with Unicorn user groups and participates in testing
and upgrades to Unicorn and Workflows
• Provides expert knowledge on Socrates, Unicorn, mail and calendaring
systems, office applications.
• Prepares documentation for circulation and student assistant manuals
and oversees the completion and updating of documentation for serials,
reserves, technical processing and other library procedure manuals.
• Collaborates with colleagues in SERG, other branch libraries, Green
Library, Academic Computing, and School of Engineering IT on technical
issues.

10%
• Plans and supervises special projects as required, working with other
library units and other University departments as needed.
• Serves on library committees as required
• Serves as the library Emergency Preparedness contact for both the
School of Engineering and SULAIR.
• Other duties as assigned

Description of the Relationships and Roles:
Reports directly to the Head of the Engineering Library. Works closely
with the Operation Managers of the other branch libraries, particularly
in the other Science Libraries at Stanford University. Works with other
staff members to provide reference assistance in the Engineering Library.

Equipment, Systems, software, skills to be used in the performance of
the job:
Equipment: servers, desktop machines, laptop computers, printers,
scanners, monitors, and handheld devices.
Systems: Stanford computing environment, and Leland system. Works with
Socrates and Kronos.
Software: Email, Ghost, MS Office Suite, Photoshop, wiki & blog creation
tools. Uses search tools and a variety of indexing and abstracting
databases. Knowledge of Instant messaging software, and RSS feeds.
Skills: expert user for standard applications; desktop administrator for
Expert Partner role within the Engineering Library

Qualifications or Requirements:

• Demonstrated ability to
apply effective supervisory, management, organizational, and customer
service skills;
apply previous library experience in positions of increased
responsibility in circulation, technical processing, and reference;
apply knowledge of automated library systems and databases;
seek constructive solutions to problems; and apply sound judgment.
• Strong organizational ability, proven ability to prioritize tasks and
time, and ability to manage multiple projects.
• Strong interpersonal skills and the ability to communicate effectively
in English.
• Working knowledge of application software such as Microsoft Office,
Web browsers and search engines and the use office computers for word
processing, spreadsheets, database management, and communications.
• Strong customer service orientation and the ability to interact
effectively in a small-group environment and with a diverse group of people.
• Flexibility and the ability to adapt to a changing environment and
emerging needs of the unit.
• Ability to work evenings and weekends, occasionally on short notice.

HIGHLY DESIRED:
• Familiarity with Unicorn, Kronos, CourseWork/Sakai and Oracle
Financials and other systems in use by SULAIR or Stanford University.
• Ability to understand and interpret reference queries in engineering
disciplines and in the use of online research resources in engineering.
• Knowledge of the structure and organization of Stanford University and
the libraries at Stanford.
